📞 How to Cancel or Reschedule
To cancel or reschedule your appointment:

⏱️ Cancellation time is based on when we receive your cancellation notice, not when you decide to cancel or when your message is sent.
🔑 Key Definitions
- Scheduled start time: The start of your confirmed appointment window
- Dispatch: We have begun travel, coordination, printing, or on-site preparations
- No-show: You, your signer, or your site contact is unavailable within 10 minutes of our arrival, or access isn't provided
🚨 Standard Cancellation & Reschedule Policy
Cancel at least 90 minutes before your scheduled start time to reschedule once at no charge.
- 90+ minutes notice: Free one-time reschedule (refunds considered case-by-case)
- Inside 90 minutes or after dispatch: Payment is non-refundable
- No-show: Full payment retained; new booking required
- Non-refundable once incurred: Printing, scanning/shipping, witness fees, parking/tolls, rush/after-hours charges, and processing fees

🔵 Mobile Notary Services (Standard)
Applies to: 1–4 documents such as affidavits, bill of sale, DMV/school forms, simple acknowledgments/jurats
- Cancellation window: 90 minutes
- Reschedule: One free reschedule with 90+ minutes notice
- After dispatch: Travel/time are billable; payment non-refundable
- Document readiness: If ID is missing, documents are incomplete, or the signer is unwilling/lacks capacity, travel/time remain billable
🧩 Multi-Document or Multi-Signer Sessions
Examples: Deeds with multiple parties, corporate packages, complex commercial leases
- Cancellation window: 4 hours
- Inside 4 hours or after dispatch: Up to the full quoted fee may be retained
- Witnesses arranged by us: Witness fees are non-refundable once scheduled
⚖️ Estate Planning & Legal Packages
Applies to: Wills, trusts, powers of attorney, advance directives, prenups, corporate resolutions
- Cancellation window: 24 hours (witness coordination & prep)
- Less than 24 hours: 50% cancellation fee; no-show: full fee retained
- Access/ID/capacity issues: Travel/time remain billable
🏥 Hospital, Hospice, Rehab, Jail & Bedside Visits
Applies to: Hospital Notarization, Hospice Notarization, Jail Visit Notarization, Tow Yard Notarization
- Cancellation window: 2 hours
- Facility denial or patient/inmate unavailable on arrival: Travel/time are billable; we will reschedule once at no charge
- If signer lacks valid ID, willingness, or capacity: Notarial act may be refused; trip/wait/admin costs are not refundable
- Security clearance required: These appointments require advance facility coordination and specialized scheduling
🏠 Real Estate & Loan Signing Services
Applies to: Loan Document Notarization, Refinance Packages, Seller/Buyer Packages, HELOC Documents, Mortgage Documents, Real Estate Closings, Escrow Documents, Deed Notarizations
- Cancellation window: 4 hours
- Documents printed: Print fee is charged even if cancelled ≥ 4 hours
- Inside 4 hours or after dispatch: Up to the full signing fee retained
- Title company delays: Not subject to cancellation fee if rescheduled within 48 hours
🔐 I-9 & Employment Verification
Applies to: I-9 Authorized Representative Service, Employment Verification
- Cancellation window: 2 hours
- Missing acceptable documents on site: Appointment billed as performed
- Employer coordination: Often involves coordination with multiple parties (employee, employer, HR)
🌍 Apostille Processing
Applies to: Apostille Services (1 or multiple documents)
- Before submission/courier dispatch: May reschedule or refund minus any admin costs incurred
- After submission or courier dispatch: Service fees and government/courier fees are non-refundable
- Rush upgrades: Non-refundable once requested
- Processing already started: 50% service fee retained if cancellation occurs after submission
🟡 Field Inspection Services
Types: Exterior-only, Interior & Exterior, Occupancy Verification, Loss Draft/Damage, Business Verification (SV0001/SV0002), Vacant Property Checks, Construction Progress/Draw, Vehicle/Collateral
- Exterior-only & occupancy: 2-hour cancellation window; access failure counts as no-show
- Interior access, business verification, loss draft/damage: 4-hour window; on-site no access = base fee retained
- Construction progress/draw: 24-hour window; if site not ready on arrival, up to the full inspection fee retained
- Rush/same-day: Once scheduled and dispatched, non-refundable
- Re-inspection/return trips: Billed at posted re-inspection rate
- Property access issues: Missing gate codes, wrong address, locked site, or aggressive animals count as no-show

🌤️ Weather & Emergency Exceptions
We understand that Southern Nevada experiences extreme weather conditions. Our policy includes the following exceptions:
- Severe weather: Flash flood warnings, extreme heat advisories, or hazardous road conditions as determined by NV DOT or local authorities
- Natural disasters: Earthquakes, fires, or other emergencies affecting travel safety
- Medical emergencies: Documented medical emergencies for client or immediate family (hospital admission, emergency surgery, etc.)
- Facility closures: Hospitals, jails, or other facilities closing due to emergencies or security situations
- Death in family: Immediate family member death with documentation; full refund or reschedule
Weather/emergency exceptions require notification as soon as safely possible and may require documentation for refund processing.
💰 Refund Processing
- Eligible refunds: Processed within 5-7 business days to original payment method
- Credit card refunds: May take 7-10 business days to appear on statement depending on your bank
- Partial refunds: For services with tiered cancellation fees, processed within same timeframe
- No-refund situations: Payment retained as cancellation fee; no refund processed
🔄 Rescheduling Options
We always prefer to reschedule rather than cancel! Here's how it works:
- With adequate notice: Reschedule at no charge to any available time slot
- Same-day reschedule: Subject to availability; priority given to pre-scheduled appointments
- Multiple reschedules: First reschedule is free; subsequent changes may incur $25 administrative fee
- Long-term reschedule: Can reschedule to any date within 90 days of original appointment; after 90 days, treated as new booking
🚗 If We Cancel on You
In the rare event that Lake Mead Mobile Notary must cancel your appointment:
- Full refund guaranteed: 100% refund processed immediately
- Priority rescheduling: First available slot offered at your convenience
- Discount offered: 10% discount on rescheduled appointment as apology for inconvenience
- Reasons we might cancel: Notary illness, vehicle breakdown, emergency family situation, or unforeseen circumstances beyond our control
📞 Late Arrival Policy
Our commitment to you:
- We arrive within the scheduled appointment window (typically 15-30 minute window)
- If we're running late, we call ahead to notify you and offer to reschedule if needed
- If we're more than 15 minutes late without notification, you receive 10% discount
Client late arrival:
- 10-minute grace period included: After that, wait time is billable in 15-minute increments
- 15-30 minutes late: At notary's discretion; may need to reschedule if next appointment affected
- 30+ minutes late or no-show: Considered a no-show; full payment charged, no refund
⚠️ Access & Add-On Costs
- Access failure equals no-show if we cannot enter due to missing codes, wrong address, denied entry, aggressive animals, or absent site contact
- Prepared materials like printed packages, shipping labels, and custom photo sets are non-refundable once created
- Parking, tolls, and third-party fees are pass-through and non-refundable once incurred
- Re-inspection or return trips are billed as a new visit unless caused solely by our error

- Request detailed billing if cancellation fee charged

By booking services with Lake Mead Mobile Notary through any of our booking platforms (website forms, phone, email, or text), you acknowledge that you have read, understood, and agree to this Cancellation & Rescheduling Policy.
⚖️ This policy is subject to change. The policy in effect at the time of your booking applies to your appointment. We will notify existing clients of any policy changes via email at least 30 days before changes take effect.
