At Lake Mead Mobile Notary, we understand that circumstances change. This policy explains cancellation, rescheduling, no-show, and refund rules for appointments scheduled through our booking system. By booking a service, you acknowledge and agree to this Cancellation & Rescheduling Policy.

At checkout, you may be asked to confirm that you have read and agree to this policy (for example via a required checkbox in Acuity). If there is a conflict between your booking confirmation and this page, the booking confirmation controls for that appointment.

- Scheduled start time: The beginning of your confirmed appointment window
- Dispatch: We have begun travel, coordination, printing, submission, routing, or on-site preparations for your service
- No-show: You/your contact are unavailable within 10 minutes of scheduled arrival time, or required access/documentation isn't provided
- Business hours: MondayβFriday 8 AMβ6 PM; after-hours services may incur additional fees

Standard Cancellation Policy
Cancel at least 90 minutes before your scheduled start time to reschedule once at no charge.
- 90+ minutes notice: Free one-time reschedule (refunds evaluated case-by-case)
- Inside 90 minutes or after dispatch: Payment is non-refundable
- No-show: Full payment retained; new booking required for future service
Non-Refundable Once Incurred:
- Document printing costs (multilingual, specialized forms)
- Witness fees (if witnesses have been coordinated)
- Travel fees for remote locations (Boulder City, Jean, Primm)
- Rush fees or after-hours service premiums
- Payment processing fees (charged by processors)
- Apostille handling, state submission, or document courier fees
π Apostille Coordination β Cancellation Trigger (Submission Rule)
Apostille coordination services (Standard, 24-Hour Rush, and 4-Hour Rush) involve time-sensitive handling and may include state filing fees. Once your documents have been submitted to the Nevada Secretary of State, cancellations are not possible and all fees become non-refundable.
- Before submission: You may cancel or reschedule under the standard notary window (90+ minutes notice), unless your booking confirmation states otherwise.
- After submission: No cancellation; coordination fees, state fees, and processing charges are non-refundable.
- Rush services: Submission may occur shortly after confirmation; if you need to cancel, contact us immediately by phone.
βSubmissionβ includes drop-off, in-person filing, or any completed handoff to the Secretary of State or their authorized intake process.
β οΈ Specific Notary Scenarios
Hospital/Senior Living Facility Notarizations:
Cancellations within 2 hours of scheduled time require full payment due to facility coordination requirements and potential medication/capacity timing constraints. Rescheduling within 24 hours is permitted at no additional charge if the signer remains available.
Loan Signings (Real Estate Closings):
Cancellations within 24 hours require $75 cancellation fee due to document review, printing costs (often 100β200 pages), and title company coordination. Cancellations with 24β48 hours notice incur $50 fee. Cancellations 48+ hours in advance: no fee. Cancellation fees apply per loan signing appointment.
I-9 Employment Verifications:
Cancellations within 90 minutes follow the standard policy. However, if an employer has coordinated multiple employees for batch processing, 24-hour notice is required to avoid a $50 coordination fee.
After-Hours/Emergency Notarizations:
Evening (6 PMβ10 PM), weekend, or holiday appointments require minimum 24-hour cancellation notice to avoid full after-hours premium charges due to schedule disruption and premium staffing costs.
π¨ Document Preparation Fees
If we have already prepared, printed, or obtained specialized documents (e.g., multilingual affidavits, Nevada DMV forms, notarized translations, apostille-ready certificates), those costs are non-refundable regardless of cancellation timing.
Document preparation fees range from $15β$75 depending on complexity and are itemized in your booking confirmation or invoice.

Standard Cancellation Policy
Cancel at least 2 business hours before your scheduled inspection time to reschedule once at no charge.
- 2+ business hours notice: Free one-time reschedule (refunds evaluated case-by-case)
- Inside 2 hours or after dispatch: Payment is non-refundable
- No-show/Access Denied: Full payment retained; $35 re-inspection fee for rescheduling
Non-Refundable Once Incurred:
- Initial dispatch costs (inspector en route to property)
- Site access coordination fees (gated communities, secure facilities)
- Specialized equipment preparation (tire tread gauges, moisture meters)
- Rush inspection premiums (same-day or <2-hour turnaround)
- Payment processing fees (charged by processors)
β οΈ Specific Inspection Scenarios
Auto Collateral Inspections (Credit Unions/Lenders):
Cancellations with less than 4 hours notice require full payment due to borrower coordination requirements. If the borrower is unavailable or the vehicle is not accessible at the scheduled time, a $50 trip charge applies plus the re-inspection fee for rescheduling.
Property Inspections (REO, Occupancy Verification, Vacant Property Monitoring):
Cancellations follow the standard 2-hour policy. However, if property access requires lockbox codes, key pickup, or third-party coordination that has already occurred, a $35 coordination fee is non-refundable.
Business Verification Inspections (SV0001/SV0002):
Cancellations within 24 hours of scheduled inspection require minimum 50% payment due to business-hours-only availability and owner scheduling constraints. Same-day cancellations: full payment retained.
Construction Draw Inspections:
Cancellations within 24 hours require full payment due to contractor coordination, milestone documentation preparation, and reporting timelines. Rescheduling within 48 hours is permitted at no additional charge if the contractor remains on-site.
Recurring Monitoring Services:
Individual inspection cancellations within a recurring service agreement follow the standard 2-hour policy. However, canceling the entire recurring agreement requires 30-day written notice to avoid charges for the following month's scheduled inspections.
π¨ Access Denial / No-Show Policy
If our inspector arrives and cannot gain access (locked gates, incorrect address, occupant refuses entry, vehicle not available), the following applies:
- $50 trip charge (travel and time reimbursement)
- Full re-inspection fee if the client requests rescheduling
- No refund of original payment (access coordination is the client's responsibility)
Exception: If access denial is due to our error, no trip charge applies and a refund or no-charge reschedule will be offered.
π Courier Delivery Services
Standard Cancellation Policy
Cancel at least 1 hour before scheduled pickup time to receive a full refund or free reschedule.
- 1+ hour before pickup: Full refund or free reschedule
- Inside 1 hour or after dispatch: 50% cancellation fee (covers dispatch and routing costs)
- After pickup completed: No refund; delivery must be completed or 100% payment retained
- Recipient unavailable/Failed delivery: A failed delivery fee may apply and redelivery is billed as a new delivery
Fees That May Apply (When Incurred):
- Mileage, routing, tolls, or parking (as disclosed at booking or on invoice)
- Additional stops (as disclosed at booking or on invoice)
- After-hours delivery premiums
- Waiting time beyond a short grace period
- Secure site access requirements
- Heavy item handling (if applicable)
Note: Exact courier fees can vary by route, distance, and timing and are confirmed in writing (booking confirmation, text, or invoice).
β οΈ Specific Courier Scenarios
Same-Day Delivery:
Cancellations after the courier is en route to the pickup location may incur the full delivery charge due to immediate resource allocation and routing commitments.
Express Delivery (Under 2 Hours):
Cancellations within 30 minutes of the requested pickup time are typically non-refundable due to express routing requirements and priority scheduling displacement of other deliveries.
Rush Delivery (1-Hour Service):
Rush deliveries are typically non-refundable once confirmed due to immediate dispatch and premium resource allocation.
Medical Courier Services:
Medical specimen or confidential document deliveries may require minimum 2-hour cancellation notice due to chain-of-custody and specialized handling requirements. Cancellations with less notice may retain a portion of the delivery fee.
Legal Document Courier (Court Filings):
Court filing deadlines create time-sensitive commitments. Cancellations close to a filing deadline may be non-refundable.
Long-Haul Corridor Deliveries (Las Vegas β Los Angeles / Phoenix):
Interstate corridor deliveries require 24-hour cancellation notice to avoid full payment retention. Cancellations with 24β48 hours notice may retain a portion of the fee; cancellations with 48+ hours notice may be subject to an administrative fee.
π¨ Recipient Unavailable / Failed Delivery
If the delivery recipient is unavailable at the scheduled delivery address:
- A failed delivery fee may apply (driver time and routing reimbursement)
- Redelivery is billed as a new delivery unless failure was due to our error
- Storage/hold fees may apply if an item must be held for later delivery
Exception: If delivery failure is due to our error, no failed delivery fee applies and redelivery will be arranged at no charge.
π§οΈ Weather, Emergencies & Force Majeure
Service Disruptions Beyond Our Control
Lake Mead Mobile Notary is not liable for delays or cancellations caused by circumstances beyond our reasonable control, including but not limited to:
- Severe weather: Flash flooding, heavy snow, dust storms, extreme heat advisories
- Traffic incidents: Major accidents, road closures, freeway shutdowns
- Natural disasters: Earthquakes, wildfires, power outages
- Government action: Emergency orders, mandatory evacuations, restricted access zones
- Public health emergencies: Facility lockdowns, quarantine requirements
- Vehicle breakdown: Mechanical failures despite regular maintenance
In these situations:
- We will notify you as soon as reasonably possible
- A full refund or free rescheduling is provided (no cancellation fees apply)
- We make reasonable efforts to offer alternative timing or service arrangements
β οΈ Client-Side Emergencies
If you experience a genuine emergency (medical emergency, family crisis, sudden hospitalization, death in family), please contact us immediately at (702) 748-7444.
We evaluate emergency cancellations case-by-case. Documentation may be requested for refund consideration.
Emergency cancellations may result in:
- Full refund of prepayment (minus non-refundable costs already incurred)
- Free rescheduling when circumstances allow
- Waiver of standard cancellation fees

All refunds are processed to the original payment method:
- Credit/Debit Cards: Refunds appear within 5β10 business days (bank processing varies)
- Zelle/Venmo/CashApp: Refunds typically issued within 24β48 hours
- Cash/Check: Refund check mailed within 5 business days
- Corporate Accounts: Invoice credit applied; adjusted invoice issued within 3 business days
Partial Refunds:
If non-refundable costs have been incurred (document printing, travel fees, witness coordination), you will receive an itemized breakdown showing:
- Original payment amount
- Non-refundable costs with justification
- Refund amount and expected processing date
β οΈ Payment Processing Fees
Payment processing fees may be non-refundable when refunds are issued. These fees are retained by payment processors, not Lake Mead Mobile Notary.
To minimize fees, consider Zelle, Venmo, or cash when available.

Special Terms for High-Volume Clients
Clients with service agreements may receive modified cancellation terms:
- Extended cancellation windows for scheduled routes or inspection batches
- Flexible rescheduling allowances
- Batch appointment modifications
- Monthly invoicing with adjustments on statements
Examples may include:
- Credit unions with recurring auto collateral inspections
- Mortgage servicers with ongoing property monitoring
- SBA lenders with regular business verification services
- Title companies with loan signing volume
- Law firms with recurring courier or notary needs
Custom Service Level Agreements (SLA)
Corporate clients can negotiate custom SLA agreements that define turnaround times, scheduling, cancellations, and volume pricing.

βοΈ Dispute Resolution & Governing Law
Nevada Law Governs This Policy
This policy is governed by Nevada law. We aim to resolve concerns through good-faith communication first.
If a dispute cannot be resolved informally, either party may pursue lawful remedies in Clark County, Nevada.
By booking services (and confirming acceptance at checkout when applicable), you acknowledge and accept these terms.
β οΈ Limitation of Liability
Lake Mead Mobile Notary's liability for cancellation-related disputes is limited to:
- Maximum liability: Refund of prepaid service fees (no consequential damages)
- No liability for indirect losses: Not responsible for missed deadlines, lost opportunities, or business losses resulting from service cancellations
- Client responsibility: Maintain backup plans for time-sensitive services (e.g., court deadlines, closing dates)
For time-sensitive services, we recommend booking with advance notice and confirming details in writing.
